Last updated: March 4, 2026

Effective Date

These Terms of Service are effective as of March 4, 2026. By accessing or using BarnPilot, you agree to be bound by these Terms. If you do not agree, do not use the platform.

Description of Service

BarnPilot is a barn and equestrian facility management platform that provides tools for managing horses, clients, staff, lesson scheduling, billing, invoicing, and communications. BarnPilot is offered on a subscription basis and is accessible via web browser. Features available to you depend on the subscription plan associated with your workspace.

User Accounts

To use BarnPilot, you must create an account with a valid email address. You are responsible for:

  • Maintaining the confidentiality of your login credentials.
  • All activity that occurs under your account.
  • Ensuring that the information you provide is accurate and up to date.

You must notify us immediately at support@barnpilot.com if you suspect unauthorized access to your account.

Roles and Permissions

BarnPilot uses a role-based access model within each workspace. Roles include Owner, Barn Admin, Trainer, Staff, and Client. Each role has distinct permissions:

  • Owners and Barn Admins have full access to workspace settings, billing, client data, horse records, and staff management.
  • Trainers can manage their assigned lessons, training rides, and client interactions.
  • Staff have access to operational tools such as daily assignments and horse care tasks.
  • Clients can view their own horses, lesson history, invoices, and account information.

Workspace owners are responsible for ensuring that permissions are appropriately assigned and that users act within the bounds of their role.

User Content

You retain ownership of all data and content you enter into BarnPilot, including horse records, client profiles, training notes, and uploaded documents ("User Content"). By using BarnPilot, you grant us a limited license to store, process, and display your User Content solely for the purpose of providing the service.

You are solely responsible for the accuracy, legality, and appropriateness of your User Content. You agree not to upload or store content that is unlawful, defamatory, or infringes on third-party rights.

Messaging and Notifications

BarnPilot sends transactional email and SMS notifications for operational purposes, including lesson reminders, invoice notifications, schedule changes, and care alerts.

SMS: By providing a phone number and opting into SMS notifications, you consent to receive text messages from BarnPilot. Standard message and data rates may apply. You may opt out at any time by replying STOP to any message or by updating your notification preferences in your account settings.

Email: Transactional emails are sent for billing, scheduling, and account-related purposes. You may manage email preferences through your account settings. Disabling certain notifications may affect your ability to receive important operational communications.

Payments

BarnPilot subscriptions are billed on a monthly basis. Pricing is as displayed on our website and may change with notice. By providing payment information, you authorize us to charge your payment method for the applicable subscription fees.

BarnPilot uses Stripe for payment processing. We do not store raw card numbers. Your payment information is subject to Stripe's terms and privacy policy.

Workspace owners may also use BarnPilot's integrated billing tools (via Stripe Connect) to invoice and collect payments from their clients. BarnPilot is not responsible for disputes between workspace owners and their clients regarding payments processed through Stripe Connect.

Subscriptions may be canceled at any time. Cancellation takes effect at the end of the current billing period. No refunds are issued for partial months.

You agree not to use BarnPilot to:

  • Violate any applicable law or regulation.
  • Transmit spam, unsolicited messages, or abusive communications.
  • Upload or share malicious code, viruses, or harmful files.

We reserve the right to suspend or terminate accounts that violate these terms without refund.
