Effective Date

This Privacy Policy is effective as of March 4, 2026. It applies to all users of the BarnPilot platform, including barn owners, trainers, staff, and clients accessing BarnPilot through any device or interface.

Information We Collect

We collect information you provide directly and information generated through your use of BarnPilot:

• Account information: name, email address, and role within your workspace.
• Business data: horse records, client profiles, lesson schedules, billing information, and training notes you enter into the platform.
• Contact details: phone numbers and email addresses for clients and staff, used for scheduling and notifications.
• Payment information: billing details processed securely through Stripe. BarnPilot does not store raw card numbers.
• Usage data: log data, device type, browser, and feature interactions used to improve the platform.

How We Use Information

• To provide, operate, and improve the BarnPilot platform.
• To process payments and manage subscriptions.
• To send transactional communications such as lesson confirmations, reminders, and invoices.
• To send notifications based on your contact preferences (email and/or SMS).
• To generate AI-assisted summaries and reports based on data you input.
• To respond to support requests and troubleshoot issues.
• To comply with legal obligations.

Notifications and Messaging

BarnPilot sends email and SMS notifications for operational purposes, including lesson reminders, training ride notes, supplement alerts, invoice notifications, and schedule changes.

SMS messaging: Standard message and data rates may apply. SMS is sent via Twilio and is subject to Twilio's privacy practices. You can opt out of SMS notifications at any time by updating your contact preferences in your profile settings or replying STOP to any SMS you receive.

Email messaging: Transactional emails are sent via Resend. You may manage email preferences through your account settings. Opting out of operational emails may affect your ability to receive important scheduling and billing information.

Data Sharing

We do not sell your personal data. We share data only in limited circumstances:

• Service providers: Stripe (payments), Twilio (SMS), Resend (email), and our hosting infrastructure. These providers are contractually bound to protect your data.
• Within your workspace: Barn owners and admins can view data for all clients, horses, and staff within their workspace. Client data is not shared across separate workspaces.
• Legal requirements: We may disclose data if required by law, court order, or to protect the rights and safety of users.

Data Security

BarnPilot uses industry-standard security practices including encrypted data transmission (TLS), secure credential storage, and role-based access controls. Payment processing is handled entirely by Stripe, which is PCI-DSS compliant. While we take reasonable precautions, no system is completely secure. Please use a strong password and contact us immediately if you suspect unauthorized access.

Data Retention

We retain your data for as long as your workspace account is active. If you cancel your subscription, your data is retained for a grace period before deletion to allow for reactivation. Workspace owners may request earlier deletion by contacting support. Some data (such as payment records) may be retained longer for legal and compliance purposes.

Children's Privacy

BarnPilot is not directed to children under 13. We do not knowingly collect personal information from children under 13 without parental consent. BarnPilot supports guardian accounts, where a parent or guardian may manage a minor client's profile on their behalf. If you believe a child's data has been collected without appropriate consent, please contact us and we will take prompt action.

Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the data we hold about you.
• Correction: Request that we correct inaccurate data.
• Deletion: Request deletion of your personal data, subject to legal retention requirements.
• Portability: Request export of your data in a machine-readable format.
• Opt-out: Opt out of SMS or email notifications through your profile settings or by contacting support.

We may update this Privacy Policy from time to time. When we make material changes, we will notify workspace administrators via email and update the effective date at the top of this page. Continued use of BarnPilot after changes take effect constitutes acceptance of the updated policy.
